How to invite teammates to your Omnovo account, what each role can do, and how to remove access when someone leaves.

Who Should Be on Your Account

Most businesses start with just the owner logged in, and that’s fine. But if you have an office manager, a marketing lead, or a partner who should have visibility into your content, reviews, or analytics, you can add them as team members. Everyone gets their own login — no shared passwords, ever.

The Four Roles

The Owner role is special — there’s exactly one per account, and it’s tied to billing. If you need to transfer ownership (for example, when selling the business), email us at hello@omnovo.com and we’ll handle it. (Self-serve owner transfer is on our roadmap.)

Note: there’s also an internal super_admin role used by Bluegrass Digital Advantage staff to provide support and operate the platform. It’s not assignable by customers and only ever applies to a few employees.

How to Invite Someone

  1. Log in to your Omnovo Dashboard as the Owner.
  2. Navigate to Settings → Team.
  3. Click Invite Member (the button is in the top-right of the page; in the modal, the heading reads “Invite Team Member”).
  4. Enter their email address and pick a role (Member or Viewer — Admin and Owner promotions happen separately, see below).
  5. Click Send Invite.

The invitee gets an email with a secure link that expires in 7 days. They click it, create a password, and they’re in. You’ll see them switch from Invited to Active in your team list as soon as they sign in for the first time.

What If the Email Doesn’t Arrive?

Invitation emails come from noreply@omnovo.com. Tell your teammate to check their spam folder first. If it’s not there, resend the invite from your dashboard — the link is regenerated each time.

If they’re using a corporate email with strict spam filters, ask their IT team to whitelist noreply@omnovo.com and resend. We see this most often with accounts using Microsoft 365 email routing.

Changing a Teammate’s Role

  1. Go to Settings → Team.
  2. Use the role dropdown next to the teammate’s name and pick a new role.
  3. The change is immediate. The next time they load the dashboard (or refresh), they’ll see their updated permissions.

You can move people freely between roles you can assign. Promoting someone to Owner requires emailing support — we do that manually because it involves transferring billing.

Removing Access

When a teammate leaves or their role ends:

  1. Go to Settings → Team.
  2. Click the Remove button on their row (it’s the red action on the right side of each member card).
  3. Confirm in the modal.

Removal is immediate. Their active session is invalidated within a few seconds, their login is disabled, and any unapproved posts they had in-progress revert to a clean draft state that other teammates can pick up.

What Teammates Can See

Every role can see:

  • Published social posts and their performance
  • Review history and approved replies
  • Monthly Growth Reports
  • Your Brand Bible and site copy

Only Owners can see:

  • Billing history and invoices
  • Payment method
  • Offboarding / account deletion settings

Viewers can see everything Members can, but without any of the action buttons. If a Viewer lands on the Approvals inbox, they’ll see the posts but the approve/reject buttons are disabled.

Common Questions

“Can my team see my credit card?” — No. Only the Owner can see billing details, and even then we only show the last 4 digits of the card. Stripe holds the actual payment method.

“If I promote someone to Member, can they cancel my account?” — No. Only the Owner can cancel, export data, or trigger offboarding.

“How many teammates can I have?” — Starter includes 3, Growth includes 10, Pro includes 25. Need more on Starter or Growth? Upgrade your plan.

“What happens to approvals a Member made if I remove them?” — Approved posts stay approved and published. Pending items they were working on revert to a clean draft for the next approver.

“Can I invite someone with a non-business email?” — Yes. Any email address works. We’d recommend a business email for audit clarity, but Gmail, Outlook, and Yahoo all work fine.

Security Best Practices

  • Use Viewer for anyone who doesn’t need to publish. Accountants, investors, family members — they don’t need approve rights. Viewer is the right role.
  • Remove teammates the day they leave your business. Don’t wait a week. Access doesn’t expire on its own.
  • Enable two-factor authentication on every teammate’s account. Each user can turn it on themselves under Settings → Account → Security. We can’t force it, but we strongly recommend it.
